Give your photographer priorities, not a second job
A long list helps you remember possibilities. The useful handover is shorter: essential family combinations, meaningful details they would not recognize, and any moments with a fixed time. Agree on coverage together; weather, ceremony rules and overlapping events can change what is possible.
Turn family photographs into named groups
Replace βcouple with grandparentsβ with actual names. Add mobility needs and who can gather the group. If relatives prefer separate portraits, write two neutral group names instead of explaining private family history on a widely shared checklist.
For example: βAlex, Morgan, Jo and Pat β seated portrait near the courtyard; Sam to gather.β Make a private note to the photographer for sensitive context.
How much time will the list need?
Use a planning calculation rather than a universal promise. Eight family groups at an assumed three minutes each need 24 minutes; adding a 10-minute gathering buffer gives 34 minutes. That estimate excludes travel, a lighting change and larger groups. Ask your photographer to replace the assumption with a realistic allowance.
Place the agreed blocks into a 6, 8 or 10-hour photography timeline. Use the guest scavenger hunt for optional candids, not as a replacement for contracted photography.
What should I leave off?
Remove traditions you are not including, inaccessible locations and shots that depend on guests doing something uncomfortable. A first look is optional. Family dances can be replaced by a shared toast or another meaningful moment.
Can I edit, save and send the checklist?
Edit any line, add your own and move items up or down. The browser keeps your current version locally. A share link contains a snapshot; later edits do not update copies already sent. Print / save PDF opens your browserβs print dialog. Review the preview before sending it.
Does βincludedβ mean the photograph has been taken?
No. Included chooses the handover list; captured tracks progress separately. Priority marks an essential request. Clear those distinctions with the person using the checklist on the day.
