A shared folder is a collaboration space

Google’s folder-sharing guide describes different viewer and editor permissions. Editors can add files and can also organize, move or delete folder contents. A viewer link and a contribution workflow therefore have different consequences.

For a wedding party that wants to organize pictures together, collaboration may be useful. For a large group where each person should only send files, decide whether those permissions fit. Do not use a folder containing personal documents or unrelated photographs.

Set up a wedding-only collection

1. Create a new folder outside any broadly shared parent folder. Give it a clear wedding name and keep unrelated documents out of it.
2. Select the folder, open Share and invite a test contributor by email. Choose Editor for contribution; Viewer is for people who should only look at the collection.
3. Ask the volunteer to open the invitation in their own Google Account. On a computer, they can open the folder and use New, then File upload, to add a photo and short video.
4. Check the two files from your account. Use only disposable test files to check what the contributor can move or delete; do this before collecting real wedding pictures.
5. Download the sample files, open the photo and play the video with sound. Check each contributor has enough storage for the files they intend to add.
6. Invite the remaining contributors only when the access and file checks match the instructions you plan to send.

These steps describe a normal shared folder in My Drive. Google’s upload guide explains that uploaded files use the uploader’s storage even when the destination folder belongs to someone else. Buying more space in the couple’s account therefore does not resolve every guest’s full-storage problem. Work or school accounts can also restrict sharing; check the account you intend to use before the wedding.

Write instructions that match your permissions

Tell guests whether they need to sign in and which folder is for their files. Avoid “just scan and upload” if your test required additional account steps. A QR code can open the folder URL, but it cannot remove those requirements.

Please sign in with the Google Account we invited and add your favorite wedding photos and short videos to [folder link] by [date]. Please leave everyone else’s files as they are. If you cannot upload, message us with the email address you are using so we can check access.

That wording fits an invitation-based folder. Do not copy it unchanged if you choose a broader link-sharing setting. For example, a guest with both a work and personal Google Account may open the invitation in the wrong one. Confirm the signed-in account before widening the folder’s permissions just to clear an access error.

Separate collection from the final presentation

After guests have contributed, choose a smaller set to share with family. A curated viewing album is easier to browse than an unsorted working folder. Review permissions again before sharing the final link. Maintain a local backup while you sort; organizing a cloud collection is not the same as creating a second copy.

A practical arrangement is an incoming folder for the wedding party, a checked local download, and a separate viewing album containing the pictures you want to show family. Keep the viewing album outside the editable incoming folder so it does not inherit the same broad access. Write down who will download the files and when; owning the folder should not be mistaken for having an independent copy of every contribution.

For the download, select files in Drive and choose Download from the context menu, as described in Google’s download instructions. If a guest has only sent a viewing link to a separate file, check that downloading is allowed. Keep a small “still to collect” list for missing clips instead of assuming an accessible preview means the archive is complete.

When to use a dedicated wedding uploader
