Wedding Reception Order of Events: 4 & 5-Hour Examples

Build a reception run of show around dinner, speeches, dances and your venue finish time. Includes two schedules and a supplier handover template.

Short answer

A practical reception order is arrivals, entrance and welcome, dinner, speeches, formal dances, open dancing and a closing song. Cake and optional traditions can move around meal service. Start with the venue's finish time and work backwards.

Five hours, from 5pm to 10pm

Use 5–6pm for a separate cocktail hour while final photographs happen. Bring guests to their seats around 6pm, then follow the dinner and dancing schedule above. That extra hour is useful breathing room; it does not require another compulsory activity.

If portraits finish sooner, join your guests. If the ceremony and reception are in different places, include real travel, parking and walking time rather than relabelling the transfer as cocktail hour.

Separate fixed deadlines from movable moments

The venue's closing time, meal service and supplier coverage windows are constraints. A bouquet alternative, guest game or cake photograph is usually more movable. Mark that distinction on the run of show so the coordinator knows what can be shortened if the day runs late.

For example, a fifteen-minute speech overrun might consume the planned buffer, shorten an optional game or move cake photographs. It should not silently move the caterer's food-safety schedule or extend a supplier's contract.

Give every transition an owner

“7:50 first dance” is incomplete. Who checks the couple are ready? Who clears the floor? Who cues the DJ? Add one responsible person, not five people who each assume someone else will act. Keep supplier phone numbers in a private working copy, not the version sent to all guests.

Adapt the programme to your wedding

A buffet may need a table-release sequence. A multi-course meal may need speeches between particular courses. Cultural traditions deserve the time and people they require, not a leftover ten-minute block. Children, older relatives and guests leaving early may appreciate important shared moments before late-night dancing.

Frequently asked questions

Should speeches be before or after dinner?

Either can work. Before dinner, keep them brief so food is not delayed. During a plated meal, agree pauses with the catering team so service does not compete with speakers.

When should we cut the cake?

Choose a time that allows the catering team to prepare and serve it. Cutting immediately before dessert is different from cutting late for photographs.

Does a five-hour reception include cocktail hour?

It depends on the contract. These examples count from guest arrival at the reception; confirm what your venue includes in its booked hours.
